We are seeking an enthusiastic and self-motivated Project Administrator to provide administrative and secretarial support to the Clinical Management team.

This is a centre of excellence in digital pathology, medical imaging and artificial intelligence.
Qualifications required:

  • NVQ4 in Administration or working towards, or equivalent.
  • RSA/OCR II or equivalent typing/Word Processing including audio typing.
  • Key Skills level 2 in Literacy or equivalent.
  • ECDL or equivalent.

Skills and experience

Applicants will have experience in a senior administrative role, including:

  • Thorough working knowledge of Microsoft Office packages (i.e. Outlook, Word, Excel, and PowerPoint).
  • Diary management experience including the ability to manage multiple diaries.
  • Meeting management including composing and transcribing minutes and actions.
  • Able to effectively set up and manage meetings using distribution lists, Outlook and web conferencing, e.g. Microsoft Teams.
  • Decision making and resolving complex work related issues, referring where appropriate
  • Excellent organisational skills and attention to detail
  • Excellent level of verbal and written communication
  • Able to collaborate with others and work as part of a team
  • Able to autonomously prioritise and plan workload to meet deadlines, often in a pressurised environment
  • Experience of handling confidential information and communications in a sensitive and effective manner.
  • Flexible attitude to working hours at busy periods.

Duties and responsibilities

Working with the management team, the role holder will provide comprehensive administrative support including but not limited to:

  • Manage the commitments of the Director, Programme Managers and other members of the management team through efficient diary management.
  • Act as point of contact for the office to ensure all enquiries are effectively managed and promptly resolved, ensuring all relevant personnel are informed as necessary and a record is maintained.
  • Liaising and effectively communicating at all levels using written, oral and electronic methods, using tact and sensitivity to deal with difficult issues as required.
  • Ensure that all documentation is up-to-date, in an orderly fashion and available whenever decisions are being made, reporting exceptional circumstances where necessary.
  • Building good working relationships with internal and external partners.
  • Organise meetings (both face to face and virtual) on behalf of the team. Composing agendas, and transcribing minutes, proactively ensuring action points are raised and completed.
  • Effectively manage allocated areas of work, progress-chase and report, as appropriate, including the collection, analysis and presentation of information.
  • Implement and maintain efficient office management system/procedures to enable the Department to optimise their standards of service.
  • Ensuring office equipment and stationery levels are maintained, processing orders as required.
  • Be prepared to work flexibly to adapt hours to ensure scheduled meetings or events are covered. The post holder may be required to travel outside of the Trust to attend meetings and events.

Contract length: 3-5 months

Job Types: Full-time, Temporary

Salary: £11.53-£12.89 per hour
